Round-up

The best AI email clients in 2026

An AI email client takes the sorting, summarising and drafting off your hands. The six serious ones differ on three points: what they cost, which mailboxes they can connect to at all, and which data centre the content of your mail is processed in. This page puts exactly that side by side.

How this list was put together

This page is published by BoxBee. BoxBee is ranked first, and that is a claim by its own maker, not a measurement by an independent body. That is why every entry says what the other client does better, and why competitor prices are reproduced exactly as the vendors publish them.

The comparison runs on three points that actually show up in daily use: which mailboxes you can connect without migrating, what it costs per month, and where the content of a mail goes when the client summarises it or drafts a reply.

1. BoxBee

BoxBee connects mailboxes over IMAP and SMTP, so it works with the account you already have, including one sitting with your domain host or a regional provider. The smart inbox sorts incoming mail before you see it, the daily brief tells you each morning what is due and who has been waiting days for an answer, and draft replies are ready before you start.

The point that separates BoxBee from everything else on this list: AI requests run through Mistral, a model developed in France, on servers in Europe. No US provider in the processing chain. For most people that is irrelevant; for a law firm, a medical practice or a company with a strict data protection officer it is the point the decision turns on.

What others do better: Superhuman is the more mature product on speed and keyboard control. Shortwave has the stronger assistant for questions across the whole archive. Spark covers more platforms, including Android, which BoxBee does not have.

2. Superhuman

Superhuman defined the market for fast mail clients. Every action has a shortcut, the interface carries no ballast, and once you are trained in, the work flows. It costs $30 a month, or $25 billed yearly, and connects to Gmail and Outlook.

Worth it for: teams who live in mail all day, sit on Google Workspace or Microsoft 365 and are willing to pay for speed. If your mailbox is anywhere else, Superhuman is not an option.

3. Shortwave

Shortwave is built around Gmail and has the most developed assistant on this list: you can ask questions across your entire mail history and get answers that pull several conversations together. It costs $14 per user a month, $24 on the Business tier.

Worth it for: Gmail users who genuinely want to interrogate their archive rather than just search it. Without Gmail you will not get far.

4. Spark by Readdle

Spark connects mailboxes over IMAP, has a free tier and costs around $8 a month paid. It covers more platforms than anything else here, Android included, which makes it the obvious pick when the household or the team runs mixed devices.

Worth it for: anyone who wants a solid mail client with AI on top across many devices and has no particular requirement about where processing happens.

5. Apple Mail with Apple Intelligence

Apple Mail ships with the operating system, connects IMAP mailboxes and adds summaries and prioritisation through Apple Intelligence, part of which runs on the device itself. It costs nothing extra and is already on every Mac and iPhone.

Worth it for: people entirely on Apple hardware who need only light AI and would rather not install anything. On Windows it is not an option at all.

6. Gmail with Gemini

If you work in Gmail anyway, Gemini already gives you summaries and suggested replies in the browser with nothing to install. Part of it sits in the free account, the rest in the paid Workspace plans.

Worth it for: Gmail users who need a summary now and then. Other mailboxes cannot be worked on, and processing sits with Google.

Notion Mail: shut down

Notion discontinued Notion Mail on 22 September 2026. Anyone coming from it loses the inbox views and the auto-labels but keeps the mail history, because Notion Mail worked directly on the Gmail mailbox through two-way sync. None of the successors on this list requires you to migrate your mailbox.

The one question that decides the choice

Before comparing features, answer this: is your mailbox on Gmail or Outlook, or somewhere else. If it is somewhere else, Superhuman, Shortwave and Gmail with Gemini drop out immediately and you are left with BoxBee, Spark and Apple Mail. That halves the list in ten seconds.

The second question is where processing happens. If you have to explain to a client, a works council or a data protection officer where the content of your mail goes, that is not a footnote, it is the selection criterion.

Frequently asked questions

Which AI email client works with any mailbox?

BoxBee, Spark and Apple Mail connect mailboxes over IMAP and therefore work with practically any provider. Superhuman and Shortwave require Gmail or Outlook, and Gmail with Gemini only works inside Gmail.

Which AI email client processes data in Europe?

BoxBee runs its AI requests through Mistral, a model developed in France, on servers in Europe, making it the only client on this list without a US provider in the processing chain. The others rely on models from US vendors; with Apple Intelligence part of the work runs on the device.

What does an AI email client cost per month?

The range runs from nothing to $30. Superhuman is $30 a month, or $25 billed yearly. Shortwave is $14 per user, Spark around $8. BoxBee has a permanently free tier with 30 AI actions a month, and Apple Mail and Gmail are included in the operating system and the account respectively.

Is there an AI email client for Windows?

BoxBee, Superhuman, Shortwave and Spark run on Windows. Apple Mail exists only on Apple devices. Gmail with Gemini runs in the browser and is therefore platform independent, but limited to Gmail.

Is a separate AI email client worth it when Gmail already has Gemini?

If you use Gmail exclusively and only need the occasional summary, Gemini is enough. A separate client earns its place as soon as you run several mailboxes with different providers, want incoming mail sorted automatically, or need to know which data centre processes your mail.
