BoxBee as a Notion Mail alternative

Notion announced on 25 June 2026 that Notion Mail shuts down on 22 September 2026. The company's stated reason is its focus on AI agents: more than half of the users barely opened the inbox themselves any more and let the AI pre-process it instead. Notion's conclusion is that the future is not a better inbox but an agent that treats mail as one source among many.

For you as a user this means: until 21 September 2026 you can export what was created inside Notion Mail itself, that is drafts, scheduled mails, snippets and your auto label instructions. Anything not saved by then is deleted afterwards. Your actual mail history is not affected, because Notion Mail worked directly on your Gmail mailbox with two-way sync. Not a single message is lost. What is lost are the sorted views and the auto labels, so the working environment, not the data.

Notion Mail was not a mail provider but a surface over Gmail. BoxBee is built the same way: a client on top of the mailbox you already have. The difference is the connector. Notion Mail spoke only the Gmail interface; BoxBee speaks IMAP and SMTP, the language virtually every mail provider understands.

You connect your Gmail mailbox over IMAP with an app password from your Google account. From then on you read and write your Gmail mail in BoxBee, and everything stays in sync with Gmail. If you ever want to leave Gmail later, say for a mailbox at your host, at Mailbox.org, Infomaniak or on your own domain, BoxBee simply remains your client. That is the fundamental difference from a Gmail overlay: you do not tie yourself to a single provider again.

The core of Notion Mail was the auto labels: you describe in everyday language which mail belongs where, and the inbox sorts itself. BoxBee's smart inbox does functionally the same thing. Incoming mail is filed into categories before you see it, and marketing lands in quarantine instead of between your real messages.

On top of that come two things Notion Mail did not have in this form: the daily brief, which sums up the state of your inbox once a day, and the autopilot, which handles recurring filing on its own. The AI also drafts replies. If you used Notion Mail for the sorting rather than for the Notion connection, you will find the same basic idea here, just without the restriction to Gmail.

To be honest, the categories will not be a one-to-one copy of your old labels. Export your auto label instructions before 21 September anyway: they are the best description of how you organised your inbox, and the best template for setting up the sorting in a new app.

The moment a mail app sorts, summarises or drafts replies, the content of the message leaves the device and goes to a model. That was true of Notion Mail, and it is true of BoxBee. So the honest question is not whether data is processed, but where and by whom.

BoxBee uses Mistral, a model developed in France, and processes requests on servers in Europe. Mail contents and passwords are not stored on BoxBee servers; credentials stay encrypted in your device's keystore. This is not a claim of certification but a statement about the chain: European model, European servers, a vendor based in Luxembourg. Whether that tips the scales in your case is your call.

The switch itself is unspectacular, because nothing moves. Three things to do before 21 September 2026:

• Export from Notion Mail what was created there: drafts, scheduled mails, snippets and the auto label instructions. After the deadline it is gone.
• Install BoxBee and connect your Gmail mailbox over IMAP with an app password. Your mail history is there immediately, because it never lived at Notion.
• Set up the sorting using your exported auto label instructions and run both apps side by side for a few days while Notion Mail still works.

A comparison where only one side ever wins is not a comparison. These points go against us:

• Notion Mail was free. BoxBee has a free tier for one mailbox, but the full feature set costs money.
• Notion Mail was deeply integrated into the Notion workspace: mail, notes and databases in one system. BoxBee has no Notion integration.
• If you are invested in Notion and its AI agents anyway, the successor vision lives at Notion: an agent that works your mail alongside everything else. It can be worth waiting to see what that becomes in practice.
• The shutdown is not a verdict on Notion Mail's quality. Organising an inbox in everyday language was a good idea, and BoxBee explicitly walks in similar footsteps here.

If you used Notion Mail mainly as an extension of your Notion workspace and your hopes rest on Notion's agents, stay in the Notion ecosystem and watch what ships there. BoxBee cannot replace the Notion connection for you.
